The Tasks list
See every task in your library in one list, whichever note it lives in.
To open the list, choose Tasks in the sidebar. Tasks are grouped by when they are due, and the list shows only unfinished tasks to begin with.
The ⋯ (Options) menu and the + for a new task are in the row above the Tasks list, beside the back and forward arrows.
The ⋯ (Options) menu and the + for a new task are at the top right of the list.
The ⋯ (Options) menu is at the top right of the list. To make a new task, tap the round button beside the search field.
What a task card shows
Each task is a card, like a note's card. A blue border shows the card is selected.
- The name, on up to three lines.
- Colored chips for what is set on it: the due date (red, with a warning sign, when the task is late), the priority, the flag, a repeat, and how many of its subtasks are done, such as 1/3.
- The latest activity, with when it happened. Click or tap it to open the task's page at that entry. On the iPhone, the page turns to Activity first.
- At the foot, the note the task belongs to — or its parent, for a subtask shown on its own — and a circle with the initials of each person it is assigned to.
When a task has subtasks, the count on it is a button: click or tap it to show the open subtasks under their parent, and again to put them away. An open subtask due today or late also appears in its own group, with its parent's name under it.
On the Mac, a task's title is set at the same size as an attachment card's in the same column, so the cards are easy to read.
Show finished tasks, or one person's
Open the ⋯ menu:
- Show Completed adds a Completed group at the bottom, the most recently finished first. A finished subtask appears under its parent. Your choice is remembered on that device.
- Assigned To shows the tasks of Anyone, or of one person. The list then carries that person's name, and a task you make there is assigned to them.
Search the list
With the Tasks list on screen, type in the search field. The list narrows in place and keeps its groups, so each result still shows when it is due. Set the search to Everywhere to search the whole library instead.
The search field is the window's own field, above the column. It reads Search tasks while the Tasks list is showing.
The Tasks list keeps its own search field.
Work with several tasks at once
- ⌘-click tasks to select them one at a time, or ⇧-click to select every task between the last one you picked and this one. ⇧↓ and ⇧↑ add the next task along, or give it back.
- Use the bar at the foot of the list.
- Touch and hold a task, then tap Select. Each tap now selects or deselects a task, and the circle at the start of the row shows it is selected rather than ticking the task off.
- Use the bar at the foot of the list.
On an iPad with a keyboard, ⌘-click, ⇧-click and ⇧↓ / ⇧↑ work as on the Mac.
The bar shows how many tasks are selected and what you can do to all of them:
- Due Date — Today, Tomorrow, Next Week (a task with a time keeps its hour), Date & Time… to give them all one day and hour, or Clear Due Date.
- Priority — High, Medium, Low or None.
- Flag, or Unflag when all of them are flagged already.
- Delete — always asks first, and tells you when a selected task's subtasks will stay behind as tasks of their own.
Anything you do from the bar ends the selection. To end it without changing anything, click or tap ✗, or press Escape. On the Mac, ⌘⌫ deletes the selected tasks, after asking.
Move a task to another note
On the task's page, click the breadcrumb at the top — the notebook and note the task is in — and pick another note. You can also use the task's ⓘ ▸ Note.
Tap the task's ⓘ, then Note, and pick another note.
The list of notes is the same one you use to link a note: type to narrow it. On the Mac, click anywhere outside it or press Escape to close it without moving the task.
