Your calendars
See the events in your Apple calendars, make new ones and change them, next to your notes.
Show your calendars
Choose Calendar in the sidebar. It shows the events of the calendars on your device — the same ones Apple's Calendar app shows, including the calendars of a Microsoft account set up on the device. A meeting with a note linked to it shows that note on every device, whichever account the meeting is in.
Each event is drawn in its calendar's color: a tinted block, with the title and the hours in a darker or lighter shade of the same color so they stay easy to read. Under the title, a pin marks the place (when the meeting has one) and a clock the hours — 19:00–21:00. A repeating meeting has two arrows in the corner of its block.
On the Mac, where you choose a calendar for an event, the calendars are grouped under the account they belong to, each with its color beside its name — so two calendars both called Calendar can be told apart.
Day, Week or Month
The switch in the calendar's toolbar picks Day, Week or Month. The arrow buttons beside Today go back and forward; Today brings you back to today.
- Day and Week — an hour is as tall as in Apple's Calendar, a line runs between every two days, and a red line marks the time now, with the hour in a red capsule beside it.
- Month — a line separates every day and every week. The day number sits top right; each meeting is a bar in its calendar's color with its title and the hour it starts. When a day has more than fits, 3 more (or however many) opens that day.
Turn the iPhone sideways and the calendar shows the week — five days at once, with the month and the week number at the top and today's date in a red pill. Swipe across the row of day names to move a day at a time. Turn it back upright and the view you had chosen returns.
Make and edit an event
- Double-click an empty place in the day or week grid. The new event starts on the hour or on half past, whichever is nearer to where you clicked, and lasts an hour. To give it a length, drag across the grid instead — it takes the quarter-hours you dragged.
- The event appears straight away, called New Event, with its card open beside it and the name selected. Type the name.
- Click the line that says when the meeting is to change the date and hours. It opens All-day, Start, End, Repeat, Alert and Show As.
- Press Return in the title, or click outside the card, to put it away. There is no Save button — what you typed is kept when the card closes.
Double-clicking a day in the month grid, or clicking + in the toolbar, opens a sheet for the new event instead; + starts at the next full hour.
Touch and hold an empty place in the day grid. A new hour-long event starts there — on the hour or on half past, whichever is nearer — and Apple's own event form opens on it. Nothing is saved until you add it in that form. The + in the toolbar starts an event at the next full hour.
As you type a place, matching addresses are offered under the field. Nothing about you or where you are is sent to find them.
The event's card
Click an event and its card opens to the right of it, with its arrow on the event, so the hours around it stay in view. Near the edge of the window the card moves to fit; with no room on the right it opens on the left.
The card shows the event's name and time first, then the notes linked to it, then New Note for this Event and Start Recording. On an event you can change, it also has Edit Event… and Delete Event. Edit Event… turns the card into the editor in the same place.
An invitation lists its guests, the organizer marked as such, and each guest's answer: a green tick, a red cross, or a question mark for no answer yet. You can see who was invited, but not invite anyone.
The editor is as tall as what is in it, and grows as you write notes, up to what fits on screen; then the notes scroll. Web addresses in the notes are links, so a Teams or Zoom line can be clicked. Return in the notes starts a new line.
The date shows as one line until you click it. Below it, a second line names any alert, repeat or availability already set, or offers to add one. An event that already repeats or has an alert opens with those rows showing.
- Repeat — never, daily, weekly, every two weeks, monthly or yearly. A repeat NotaBene cannot show, such as every third day, reads Custom and stays as it was when you change something else.
- Alert — from at the time to a week before.
- Show As — whether the time counts as busy. It appears only where the calendar can store it.
Closing a card you only looked at changes nothing. To delete a meeting, select it and press ⌫, or use its card or its context menu.
Tap an event to open Apple's event window — beside the event on the iPad, as a sheet on the iPhone. It has Edit, Delete Event at the bottom, and ✓ to close it. The note button beside Edit lists the notes linked to the meeting, each to open or unlink, with New Note, Link Note… and Record.
Drag in the grid
- Drag the middle of a meeting to another hour, or sideways to another day. It moves under the pointer, keeping its length.
- Drag its top or bottom edge to make it start earlier or end later, a quarter-hour at a time.
- An open hand over a block means you can move it; a resize pointer over its edge means you can stretch it.
- For a repeating meeting you are asked whether to change only this event or future events too.
- Touch and hold a meeting to pick it up. It follows your finger a quarter-hour at a time, and shows a round grip at each end — drag one to make the meeting start earlier or end later.
- Tap an empty place to put it down.
- A plain drag scrolls the day.
Touch and hold an empty place to make an event, or drag across the grid to make one as long as the drag. Drag a meeting onto a notebook in the sidebar to make a note for it — see Meeting notes.
Search
Over the calendar, the search field in the toolbar says Search events and searches events.
Tap the magnifier beside Day, Week and Month to search events.
The search finds a word in an event's title, place or notes, ignoring case and accents, in the calendars that are switched on, from a year back to two years ahead. The results are listed by day; choose one to see its day in the grid with the event open. Clear the search to get the calendar back. To search notes and events together, use Search.
